The Assistant Registrar for Graduation provides leadership within the Registrar’s Office and the University in the development of student-focused policies and procedures for managing graduation requirements and seeking opportunities to remove barriers to college completion. This individual supervises all aspects of the graduation process including proactively identifying students who meet graduation requirements, communicating with students, certifying graduates, conducting commencement exercises, and assuring the accuracy of graduates’ records. The Assistant Registrar for Graduation also serves as a resource to faculty, staff and students regarding questions about academic requirements and often facilitates communication between students and academic leaders (deans, chairpersons, and program coordinators) to resolve unmet requirements.

Primary Responsibilities
•Manage daily operations of the graduation area of Registrar’s Office and provide leadership for those who assist with graduation activities
•Research and evaluate graduation inquiries to resolve questions and issues
•Review applications and approve qualified applications for graduation
•Notify students of degree requirement deficiencies and work with department chairs and program coordinators to resolve problems
•Identify and verify graduation honor candidates
•Formulate graduation semester calendars including developing timelines for and supervising completion of various projects related to commencement/graduation
•Plan and execute commencement ceremonies and related events such as post-commencement receptions and cap and gown distribution. Plan and supervise implementation of commencement ceremonies, including recruitment of marshals, designating assembly areas, overseeing all physical arrangements in conjunction with Facilities Management, Recreation Services, photography services, cap and gown providers, and other offices involved in set-up of ceremony.
•Assist in management of commencement budget to ensure coverage of all expenses related to graduation/commencement
•Accurately maintain database information and compile graduation/commencement reports for multiple offices
•Comply with and adhere to Family Educational Rights and Privacy Act when communicating with the university community and general public

Required Qualifications
•Bachelor’s degree
•Minimum of three years of professional experience in higher education
•Demonstrated strong computer and technical skills
•Experience working with complex student information systems, such as Ellucian Banner
•Proficient in the use of the Microsoft Office suite including creating Access queries
•Experience producing large-scale events, such as commencement ceremonies or similar events
•Strong interpersonal communication skills
•Effective and appropriate oral and written communication skills
•Demonstrated attention to detail
•Demonstrated excellent organizational, administrative, leadership, and decision-making skills
•Ability to solve problems
•Ability to prioritize work, perform well under pressure, and maintain productivity despite constant interruptions
•Ability to maintain confidentiality of records and information
•Demonstrated ability to interact effectively with external constituencies
•Ability to accurately prepare and edit publications and reports
•Ability to work independently and also coordinate activities with other University areas and external constituencies
•Demonstrated commitment to a diverse work environment, including working with multi-cultural populations and an understanding of, and sensitivity to, issues affecting women and minorities
