Summary:

The Associate Registrar plays a critical role in ensuring the smooth functioning of academic operations within the university. They work closely with the Registrar and other administrative staff to manage student records, coordinate registration processes, and provide support for various academic initiatives.

Responsibilities:

Student Records Management:
Oversee the maintenance and accuracy of student records, including
academic transcripts, grades, and enrollment status.
Ensure compliance with university policies and regulations regarding
student records management.
Manage the confidentiality and security of student records in
accordance with legal requirements.

Registration Coordination:
Coordinate the registration process for new and returning students.
Provide assistance and guidance to students and academic advisors
regarding registration procedures and requirements.

Academic Advising Support:
Assist academic advisors in providing accurate information to
students regarding degree requirements, academic policies, and
program options.
Help resolve academic issues and concerns raised by students,
faculty, or staff, escalating complex issues to the Registrar when
necessary.

Compliance and Reporting:
Stay informed about regulatory requirements and accreditation
standards related to academic records and student information.
Prepare reports and documentation as needed for internal audits
regarding checks and balances within the office.
Collaborate with institutional research staff to collect and analyze
data related to student enrollment, retention, and academic
performance.
Responsible for Athletic Eligibility review and compliance within the
University, in conjunction with the Athletic

Technology and Systems Management:
Utilize student information systems (SIS) and other technology
platforms to manage student records, registration processes, and
academic workflows.
Assist in the implementation of system upgrades, enhancements, and
training initiatives to improve efficiency and usability.
Troubleshoot technical issues and coordinate with IT support staff to
resolve problems in a timely manner.

Collaboration and Communication:
Foster positive working relationships with academic departments,
administrative units, and campus stakeholders.
Serve as a liaison between the Registrar's Office and other campus
offices, committees, and external agencies.
Communicate important updates, deadlines, and policy changes to
students, faculty, and staff through various channels, including
email, websites, and social media.

Champion diversity, build an inclusive culture and learning experience, and maintain an equitable learning environment.
Performs other job-related duties as assigned.

Qualifications:

Bachelor's degree in education, business administration, or a related field (Master's degree preferred).

Prior experience in higher education administration, preferably in a registrar's office or related area.

Knowledge of student information systems (e.g., Jenzabar, Banner, PeopleSoft) and proficiency in Microsoft Office applications.

Strong organizational skills with attention to detail and accuracy in record-keeping.

Excellent interpersonal and communication skills, with the ability to interact professionally with diverse stakeholders.

Familiarity with academic policies, regulations, and compliance requirements in higher education.

Ability to work independently, prioritize tasks, and handle multiple projects simultaneously in a fast-paced environment.
Multilingual skills highly preferred.
